Executive Assistant

Atlas Oil Company is seeking an Executive Assistant for their CEO in Birmingham, MI.  Atlas Oil Company is a premier national distributor of petroleum products and related services with offices in Michigan, Indiana, Ohio and Texas.

 

Job Summary:

 

Works directly with Chief Executive Officer to provide support in daily administrative functions including organization of calendar, travel arrangements, maintenance of office files, schedule meetings, and organize communications including: telephone calls, email and correspondence.  Exercises considerable judgment in making appointments, handling confidential material and providing information to others. Appropriately routes telephone calls and greets visitors in a professional, courteous and friendly manner. Follows up on assignments and ensures deadlines are met.



Requirements:

Primary Responsibilities:

 

  • May be required to work early, stay late and work on weekends as needed.
  • Office administrative activities:
  • Answering phones and respond to calls on Chief Executive Officer’s  behalf as needed
  • Coordinating and booking travel
  • Creating and maintaining schedule / calendar
  • Copying and other administrative tasks as directed
  • Letters, envelopes, mailing, etc.
  • Office supplies and maintenance
  • Other administrative tasks as assigned
  • Keeps electronic database up-to-date such as Blackberry/Contact List
  • Follow established procedures/routines/practices regarding providing supplies and office organization.
  • Keeps all office areas neat, clean and well organized.
  • Orders and organizes working lunches and schedules dinner reservations / business entertainment as needed.
  • Makes arrangements for pick-up and return of visitors via the airport

 

Required Experience and Education:

  • Five years experience reporting directly to Chief Executive Officer / President
  • Four year college degree in Business Administration or related field preferred
  • Proficient with Microsoft Office Suite:  Outlook, PowerPoint and Excel
